How do you start working with VVT?

  • Set up a time to meet Jenica and discover if VVT IS the right fit for you.
  • Decide on the package you’d like and let Jenica know if you have a budget.
  • Andie will send you the contract and onboarding and retainer invoice of $300
  • Once the contract is signed and the retainer is paid, you will receive an invitation to Google chats by Jenica and your practice management board with a video walk-through from Dianne.
  • Chat or text Dianne with any questions about filling in the management board.
  • Once complete, you’ll meet with Dianne and go over any questions about your board before moving on to the next step where you will go over final touches with Jenica.
  • Going LIVE! This can be as early as the next day.

We offer 3 different Packages based on your practices needs

The VVT flex plan:

This option allows you to work with Virtual VetTechs on an as-needed basis. You will have a team of 2-3 VVT’s working with your practice and several others to allow for the best response time.

Semi-Dedicated Technician hours:

This option allows you to book your Virtual VetTech to share time between your practice and one other practice.

FULLY Dedicated Technician hours:

This option to book one of our virtual technicians using dedicated 4 OR 8 hour time blocks. This would mean your VVT would be working with your practice only.

The VVT Flex Plan

  • Starting at $600/month which Includes 360 minutes and administration fee.
  • Once that is used, there is a per minute charged applied.

  • Charged a monthly retainer which (includes all time Monday-Friday, no weekends).

  • Monday-Friday availability from 8 am-4 pm

**All communication with clients via phone, text or email.  Other tasks are available on request and may be discussed through text or email.

Semi-Dedicated Technician hours

This option allows you to book your Virtual VetTech to share time between your practice and one other practice. By comparison, when working with Flex plan practices, a technician may balance work from 4 to 6 practices throughout the day.

This allows your semi-dedicated VVT to:

  • Focus on needed tasks in a more time-sensitive fashion.
  • To work with your phone/texting system if preferred.
  • Take on more tasks for you without it affecting your invoice.

Our semi-dedicated technician is available for a flat monthly rate and includes all time spent with your account. Weekends are not available.

FULLY Dedicated Technician hours

This option is to book one of our virtual technicians using dedicated 4 OR 8-hour time blocks. This would mean your VVT would be working with your practice only.

Choose your option:

  • 4-hour time blocks:
    • An individual daily rate is available or you can opt for a set monthly rate.

    • Would be a dedicated 4hr window as agreed on with VVT
  • 8-hour time blocks:
    • An individual daily rate is available or you can choose a set monthly rate.

    • Would be a dedicated time as agreed on with VVT (Typically 8 am-4 pm or 9 am-5 pm)

A backup technician would be trained to cover time off. No weekend availability

Taxes to be applied as appropriate; Weekends are an additional fee.

Subcontracting to THEBOWLHALFFULL.CA for:

  • Nutrition Consulting which includes:
  • Initial Consultation
  • Follow-Ups
  • Medical Record Keeping with Evaluation and Recommendations sent to client and veterinary hospital

Payment and Invoicing

Payments:

Payment can be made with a credit card payment through VVT’s card processor (Gravity Payments).

How VVT Bills:

  • Retainers are invoiced prior to beginning service.
  • The per minute rate is billed at the end of the month and due with the next month’s retainer fee.
  • Semi or Fully Dedicated Rate: payable prior to beginning service.

Late Payments:

All late payments will incur a 2% late payment fee per month

Invoices:

Invoices will be sent electronically to your designated email address. Invoices are sent on the 1st of every month & payment is due by the 4th.

Refunds

Refunds:

Time slots are provided to customers based on the retainer purchased. I commit to these times which affects how many other clients I can take on. Due to this fact, I do not offer refunds on unused tasks or allow tasks to be rolled over to another project.

Confidentiality and Passwords

Confidentiality and Passwords:

I take confidentiality very seriously and will do my utmost best to protect any and all data that relates to your business. On termination of our contract, I will return or destroy all documentation that is in my possession.

Meeting Cancellations

Meeting Cancellations:

A 24-hour notice is required for cancellation or postponement of meetings. I do understand that sometimes things creep up on you, and this is not always possible. In these instances, please provide as much notice as possible.

Vacation, Sick, & Termination Policy

Holidays & Days Off:

  • Services will not be provided on all CANADIAN Public Holidays (List of holidays).
  • VVT will be closed from July 1st-July 4th annually
  • VVT currently closes annually the week of Christmas.
  • You will be made aware of any additional days off through the year. (back-up is usually provided)

Cancellations:

Should you wish to cancel my services, I require 2 weeks notice. All outstanding payments will be due on the last day.
